MetaDx Lab, Inc. ("MetaDx Lab", "we", "us", or "our") operates metadxlab.org and provides AI-assisted veterinary diagnostic services to licensed veterinary professionals. This Privacy Policy describes in detail how we collect, use, share, and protect personal information when you visit our website or use our diagnostic platform and services.
We take privacy seriously. Veterinary practice information and any associated clinical data are handled with the same care we apply to our diagnostic science: deliberately, with clear documentation of what we do and why. By using metadxlab.org or submitting samples through our diagnostic portal, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with the practices described here, please do not use our website or services.
This Privacy Policy applies to all visitors to metadxlab.org and to licensed veterinary professionals who use our diagnostic panel services. It covers information collected through our website, contact forms, demo request submissions, the diagnostic submission portal, and any email correspondence with MetaDx Lab.
MetaDx Lab's services are not directed to members of the general public seeking information about their own pets' health conditions. Our platform is a business-to-business veterinary laboratory service. If you are a pet owner seeking diagnostic results, please contact the veterinary practice that submitted the sample on your behalf.
When you contact us, request a demo, or create an account on our diagnostic portal, we collect information you provide, including: your name, email address, phone number, practice name, practice address, and veterinary license number. We also collect any information you include in messages you send us.
When submitting samples through our portal, you provide animal patient identifiers (which we require to be de-identified at source — no owner names, no owner contact information), the type of analysis requested, sample collection date, and the submitting veterinarian's credentials.
When you visit metadxlab.org, our servers automatically collect standard web log data including: your IP address, browser type and version, operating system, referring URL, pages visited, and time spent on each page. This data helps us understand how the site is used and identify technical issues.
We also use cookies and similar tracking technologies. See Section 6 and our separate Cookie Policy for full details on what cookies we use and how to control them.
We do not collect pet owner personal information through our diagnostic portal. We do not collect payment card details directly — billing is handled through our payment processor with appropriate PCI-DSS compliance. We do not collect information about animal patients beyond anonymized clinical data necessary to run the diagnostic panel.
We use the information we collect for the following purposes:
Service Delivery: To process diagnostic panel submissions, generate reports, and deliver results to the requesting veterinary practice. This includes using contact information to communicate status updates, request additional information when needed, and deliver final reports securely.
Account Management: To create and manage accounts for veterinary practices using our portal, verify licensure, and maintain accurate records of submitted panels and delivered results.
Communications: To respond to inquiries and demo requests, send service-related notifications, and communicate updates about our platform. We do not send unsolicited marketing emails. If you have opted in to receive updates about new conditions or platform features, you will receive periodic product newsletters. You can unsubscribe at any time.
Service Improvement: We analyze aggregated, anonymized usage data to understand how veterinarians use our platform, which features are most valuable, and where we can improve the diagnostic workflow. This analysis never links usage patterns to individual practices without explicit consent.
Legal Compliance: To comply with applicable laws, respond to lawful requests from regulatory authorities, enforce our Terms of Use, and protect the rights, safety, and property of MetaDx Lab, our users, and the public.
Model Validation: De-identified diagnostic data, stripped of all practice and patient identifiers, is used to validate and improve our AI models over time. This is core to our scientific obligation to maintain accurate detection rates. Practices agree to this use when they accept our Terms of Service. We publish our validation methodology in our blog so veterinarians can understand how their aggregated data contributes to model accuracy.
We do not sell personal information to third parties. We do not share personal information with advertisers or data brokers. We share information only in the following limited circumstances:
Service Providers: We work with third-party service providers who perform functions on our behalf, including cloud infrastructure (AWS), payment processing, and email delivery. These providers are contractually obligated to process data only as directed by MetaDx Lab and to maintain appropriate security standards.
Laboratory Partners: We work with a USDA-registered laboratory partner for physical sample processing. Sample submissions include the minimum information necessary for the laboratory to run the requested analysis. Our laboratory partner operates under a data processing agreement that prohibits them from using submitted data for any purpose other than fulfilling MetaDx Lab's analytical requests.
Legal Requirements: We may disclose information when required by law, subpoena, court order, or other legal process, or when we believe in good faith that disclosure is necessary to protect the rights, property, or safety of MetaDx Lab, our users, or the public.
Business Transfers: In the event of a merger, acquisition, or sale of all or substantially all of our assets, personal information may be transferred as part of that transaction. We will notify affected users by email and update this policy before any transfer takes effect.

All data transmitted between your browser and our servers is encrypted using TLS 1.2 or higher. Data at rest in our cloud infrastructure is encrypted using AES-256. Access to veterinary practice accounts and diagnostic data is protected by password authentication and optional multi-factor authentication. Access to production systems containing personal data is restricted to MetaDx Lab personnel with a documented business need. We maintain access logs and review them periodically.
While we work hard to protect your information, no security system is impenetrable. In the event of a data breach affecting your personal information, we will notify affected parties as required by applicable law, including California's data breach notification requirements.
We retain different categories of data for different periods based on operational and legal requirements:
Contact and inquiry data (name, email, practice name from contact forms and demo requests) is retained for 24 months from the date of last interaction, or longer if you have an active account.
Account data for active portal users is retained for the duration of the account plus 12 months after account closure.
Diagnostic panel data (de-identified records of submitted panels and generated reports) is retained for 7 years in accordance with veterinary laboratory record-keeping standards and applicable regulations.
Website analytics data (aggregated, anonymized) may be retained indefinitely for trend analysis purposes.
You may request deletion of your contact and account data by emailing privacy@metadxlab.org. Note that we may retain certain records where we have a legal obligation to do so, or where records are necessary to resolve disputes or enforce our agreements.
Depending on your location, you may have rights regarding your personal data under applicable privacy laws, including the California Consumer Privacy Act (CCPA) and, where applicable, the EU General Data Protection Regulation (GDPR).
These rights may include: the right to know what personal data we hold about you; the right to request correction of inaccurate data; the right to request deletion of your data (subject to legal retention obligations); the right to opt out of data sharing (though we do not sell personal data); and, for EU users, additional rights including the right to data portability and the right to lodge a complaint with a supervisory authority.
To exercise any of these rights, please contact privacy@metadxlab.org with a description of your request. We will respond within 45 days. We may need to verify your identity before processing certain requests.
MetaDx Lab's services are directed exclusively to licensed veterinary professionals. We do not knowingly collect personal information from individuals under 18 years of age. If we become aware that we have collected information from a minor, we will take steps to delete it promptly.
We may update this Privacy Policy from time to time to reflect changes in our practices, service offerings, or applicable law. When we make material changes, we will update the "Last updated" date at the top of this page and, if the changes are significant, notify active account holders by email.
